The need

Mailing records were kept in separate files.

Mail records were kept in shared spreadsheets, with addresses and label sheets stored separately. The firm needed a shared record of correspondence, recipients, and status history.

What I built

Prepare outgoing mail and track each recipient.

Mailgrid maintains a record for each mailing. A mailing can have several recipients, each with their own tracking number, status, and history. Staff can update those details without losing the earlier record.

The shared address book keeps frequent recipients close at hand. Mailing lists and groups help the team prepare repeat mailings, and batch labels can be printed together. Earlier label sheets stay available when someone needs to check a previous run.

Implementation

How I approached the work.

Batch review and notices

Optional address review and email notices support batch preparation and follow-up. Staff can check a batch before it goes out and choose which mailings they want updates about. Tracking history is available in the record; staff remain in control of status updates.

Optional record copies

An optional Google Sheets copy gives the firm another familiar way to see its records. If that connection is unavailable, the team can keep entering mail and the copy can catch up later.
